Responsibilities

This is a full-time, salaried position with benefits, located in Partners’ Philadelphia office. Duties include:

  • Manage all aspects of office administration, including office schedules, filing, correspondence, answering phones, and responding to emails.
  • Providing support to executives or key staff members, including managing their calendars, scheduling appointments, and assisting with travel arrangements.  
  • Helping to organize and coordinate events, meetings, and conferences, including scheduling venues, arranging catering, and managing office logistics.
  • Submit Key-Employee expense reports.
  • Ensuring the smooth functioning of the office by maintaining office equipment, overseeing office layout and organization, and managing/ordering office supplies.  
  • Managing incoming and outgoing shipments, ensuring packages are received and sent out in a timely manner, and maintaining accurate records. 
  • Managing organizational files and records, both physical and digital, and ensuring confidentiality and security of sensitive information.
  • Review and assist with employee expense reporting; ensuring accuracy and compliance with organizational policies.
  • Serve as a point of contact for internal and external inquiries, maintaining communication channels within the organization, and disseminating information to staff members. 
  • Collaborating with other team members and departments to support overall organizational goals and initiatives.

 

Qualifications: 

  • Degree or equivalent experience in office administration or related field. 
  • Able to lift 35 lbs.
  • Previous experience in office management or an executive administrative role preferred.  
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.  
  • Excellent communication and interpersonal skills. 
  • Proficiency in Microsoft Office Suite and other office management software.

Summary

Reporting to the Senior Communications Manager, the Communications Coordinator will be primarily responsible for digital communications, including writing posts, creating graphics, promoting content, updating the website, and reporting, as well as general maintenance of the organization’s digital visual assets (primarily photography). These responsibilities support a communications plan designed to connect with congregations that participate in Partners’ programs and consulting services, and build Partners’ community of supporters.

Responsibilities

Digital Communications

  • Work with Partners staff to independently create and distribute content for Partners’ digital media channels, including:
    • Website
    • Social media (Facebook, Instagram, LinkedIn)
    • E-blasts (Constant Contact, Mail Chimp)
  • Create graphics
  • Work with Senior Communications Manager to update existing web content
  • Work with program staff to promote programs and contact congregations via digital channels
  • Write blog posts as needed

Visual Asset management

  • Create and maintain database of shared communications resources, including photos
  • Provide support to staff to organize photos on a network drive

Reporting

  • Provide reports on digital communications, including website, social media, and email

Qualifications

  • Experience creating content for Facebook and Instagram – must be able to create content without the need for additional editing
  • Skilled at creating digital graphics, either with Adobe or Canva
  • Strong writing skills
  • Familiarity with Partners’ existing communications software preferred, including Constant Contact and WordPress
  • Familiarity with Google Analytics preferred
  • Familiarity with Microsoft Office and Google Docs
  • Ability to work with leaders from diverse faith traditions
  • Strong relationship-building skills
  • Self-motivated work ethic
  • Lifelong learning mentality and curiosity
  • Flexibility to work independently, as well as collegially as a member of a team
  • Requirement to work four days per week in the Philadelphia office, with option to work one day remotely

Job Summary

Launched in 2012, Partners for Sacred Places’ Capital Campaign Consulting Services (CCCS) have grown rapidly providing the organization and an imperative resource to our core constituency and clients. Consulting Services has two branches, CCCS (Capital Campaign Consulting Services) which includes Feasibility Studies and Capital Campaigns and CECS (Community Engagement Services) Asset Mapping, Charrette Design, Strategic Visioning, Economic Effect Halo Studies, and Transition Services. Our client list includes individual congregations and parishes, as well as judicatories, and other faith-based organizations.
Partners seeks an experienced (5-7 years), flexible, efficient, and motivated individual who is ready to step in on active contracts, manage a pipeline of interested clients and execute accurate, actionable, and creative feasibility studies and capital campaigns for a diverse clientele in collaboration with other Partners’ staff.

Responsibilities

  • Manage Pipeline of Prospective Clients
  • Field inquiries from potential clients, gathering relevant information about client’s needs and priorities and communicating Partners’ mission and unique approach to community wide campaigns.
  • Steward clients through the “prospect” stage–pitch Partners to client leadership, write proposals and presentations, outline project design for Partners’ staff and adjuncts involved in each project.
  • Identify potential clients via networking events, independent research, collaboration with Partners’ colleagues and adjuncts (p/t consultants)
  • Execute Feasibility Studies and manage Capital Campaigns
  • Learn and implement the core tenets of Partners’ New Dollars/New Partners approach to fundraising.
  • Manage relationship with clients, ensuring that staff, leadership, and volunteers understand their role(s) in execution of scope of work.
  • Anticipate upcoming Feasibility Study and Capital Campaign tasks and events (spreadsheets, communications, PowerPoints, meetings, etc.)
  • Collaborate with clients and colleagues to create interview lists and research plans for Feasibility Studies
  • Conduct one-on-one Feasibility Study interviews with faith leaders, congregants, municipal leadership, foundation staff, neighbors, community leaders, business owners and other potential capital campaign stakeholders.
  • Collate and analyze interview results with independent research, drafting feasibility study reports that evaluate interviewee’s willingness and capacity to give and lay out a strategic approach to future capital fundraising efforts.
  • Work with Executive Vice President and Sr. Director of Consulting as project associate for capital campaigns, including but not limited to the development and management of campaign organizational charts/infrastructure, task force and steering committee recruitment, case statement drafting, donor research, creation of pyramid of gifts, pledge tracking/management, oversight over campaign messaging and materials, training of volunteers and campaign leadership, etc.
  • Track progress of contracts, payment schedules, manage project teams and project budget via project management system (Asana)
  • Work with Sr. Director of Consulting to update Executive Staff and Board about the progress of active contracts, the pipeline of prospective work via Board reports.
  • Write client success stories to be included in Partners’ magazine, e-newsletter, and other marketing materials.
  • Report to the Senior Director of Consulting

Qualifications

  • Knows how to promote and sell Partners’ Consulting Services to potential clients.
  • At least 5-7 years’ experience executing feasibility studies and capital campaigns with a track record of success.
  • Experience conducting a capital campaign from beginning to end.
  • Live in Metro Philadelphia (preferred) or Chicago
  • Comfort level initiating new relationships and developing rapport with clients and donors from a wide spectrum of sectors (faith, philanthropy, heritage, public, private, etc.) faiths and geographies.
  • Comfortable with various faith traditions and has familiarity with conducting campaigns with houses of worship.
  • Curiosity that drives client research by taking a proactive approach.
  • Ready to contribute to Partners’ work within a short period.
  • Strong in-person/phone/virtual presence
  • Ability to maintain a high level of confidentiality.
  • Willingness to work evenings and weekends and to travel frequently.
  • Excellent writing skills
  • Excellent organizational and project management skills, attention to detail
  • Flexibility to work independently, as well as a member of a team.
  • Knowledge of nonprofit organizational structures and operations.
  • Proficiency with Google Workplace, Microsoft Office, Asana, E-Tapestry
